Optometry IT Support — Portland, Oregon

 You run an independent optometry practice. You know your stack — RevolutionEHR or OfficeMate, your OCT, your check-in flow, the rhythm of a busy Tuesday morning. What you don't have is the time to also be the IT person, the compliance person, and the one who explains to staff why the printer dropped off the network again.

That's where we come in. We're MDL, a Portland-metro managed IT services team. We've spent fifteen years inside an independent optometry practice — supporting the same OD owner from a single location through equipment migrations, PMS upgrades, HIPAA pressure, and the daily work of keeping a practice running. Who we serve

 We're a fit for independent optometry owners across the Portland metro — Beaverton, Hillsboro, Lake Oswego, Tigard, Tualatin, Gresham, and the inner SE / NE / NW corridors. Most of the practices we're a fit for look something like this:

  • Owner-operator OD who still sees patients most days
  • 5–15 PCs, one to three doctors, one location
  • $500K–$2.5M annual revenue
  • A part-time "IT guy," a relative, or a generalist MSP that doesn't speak optometry

If you're inside a corporate group (LensCrafters, MyEyeDr, Visionworks), or you already have a managed IT relationship you're happy with, we're probably not the right fit today. We won't push.

The optometry stack we know

 Most of what breaks in an OD practice isn't the IT in the abstract — it's the integration between the IT and the optometry stack. We've supported these systems hands-on:

  • RevolutionEHR — cloud PMS used widely by indies. We handle browser, SSO, and imaging-integration friction, plus the network performance issues that show up on aging PCs.
  • OfficeMate / Eyefinity / ExamWRITER — the VSP-aligned stack still common across the Pacific Northwest. We work with both server-based deployments and the newer cloud variants.
  • Crystal PM — desktop / server installs in long-tenured practices. We handle the local server health, end-of-life Windows machines, and the offsite backup gaps that most practices don't realize they have.
  • Compulink — broader PMS suite with module sprawl. We handle the vendor coordination so the office manager doesn't have to.
  • MaximEyes — smaller share, more common in legacy installs. We've operated a MaximEyes server and desktop fleet hands-on for fifteen years, so the migration conversations, the patch cadence, and the imaging handoffs aren't theoretical.

Imaging — Optos, OCT, fundus camera, autorefractor — is its own story. The rep can plug it in, but getting it to talk reliably to the PMS over time is where we earn our keep.

HIPAA and payment compliance, for independent Portland optometry practices

 

HIPAA isn't a one-time audit. It's a discipline — and for most independent practices, it's the area where the gap between "what we tell ourselves" and "what we could actually defend" is the largest.

We help practices close that gap quietly, without drama:

  • A living HIPAA security risk assessment — not a binder from a one-time consultant three years ago
  • BAAs with every vendor that touches PHI — current, signed, on file
  • Patient images off personal Google Drive, Dropbox, and iCloud, and into a HIPAA-aligned location
  • Encryption at rest and in transit, access controls, audit logs
  • A backup process that someone has actually tested with a real restore
  • Staff training that's a habit, not a checkbox

Payment compliance gets the same calm treatment. PCI-DSS questionnaires arrive once or twice a year from the merchant processor or the carrier. They don't have to be answered with a guess.

Day to day, we handle:

  • Help desk. Staff calls us, not a relative. Tickets are tracked, not held in someone's head.
  • Backups and recovery. Verified, tested, documented — not "we have backups, we think."
  • Patch and update cadence. Server, desktops, imaging integrations. On a schedule, not "let's do it Friday."
  • HIPAA risk assessments and remediation. Annual cadence, plus the small fixes that compound between assessments.
  • PMS support coordination. We handle the vendor calls so you don't.
  • Imaging device integration. Optos, OCT, fundus camera, autorefractor, lensometer. We get them on the network and we keep them there.
  • Workstation refresh planning. Fleet age, end-of-life Windows machines, what to replace and when.
  • Office expansion and PMS migration support. If you're adding a doctor, a second location, or moving PMS, the IT side gets a plan that matches the practice's pace.
